Trade shows are hubs of innovation, opportunity, and information overload. Whether you’re a seasoned exhibitor or a first-time visitor, a little prep goes a long way. Here’s your ultimate guide to help you make the most of your day and leave with more than just a tote bag full of pens.
Pre-show registering
This step sounds obvious, but it’s always better to start your trade show journey off strong and check if you have registered. Make sure you’ve pre-registered online to skip the long queues and sometimes even snag early-bird perks.
Always double-check your ticket and badge information so you don’t waste your buying time on the day.
Plan your trip
A smooth journey can make or break your trade show experience, especially if you're traveling from out of town. Here’s how to make sure you arrive fresh, focused, and ready to network:
Book your accommodation early – Hotels near the venue tend to fill up fast (and get pricey). Look for places with good reviews, proximity to transport, and maybe even a decent breakfast.
Sort your transport – Whether you're flying, driving, or hopping a train, sort tickets and times ahead of time. Bonus points for setting reminders the day before.
Know your route – It sounds simple, but knowing how to get from your hotel to the venue (and back) saves stress on the day. Download offline maps or public transit apps if needed.
Budget some buffer time – Aim to arrive a little earlier than you think you need to. It gives you time to check in, get oriented, and maybe even grab a coffee before things get busy.
Check the show plan and schedule
While you may be planning to see specific brands, try to check all brands exhibiting before you attend your show. This ensures you have a better understanding of what’s being offered, and you may even leave with a new supplier. Knowing who will be at the show ensures you can plan ahead and see all important exhibitors.
Some trade shows will offer live entertainment, panels, or keynote sessions featuring music or special guests. Knowing who’s attending helps to build your agenda around any sessions you don’t want to miss.
Book meetings
Trade shows are the perfect opportunity to connect face-to-face. Reach out to contacts or prospects ahead of time and lock in those meetings. Calendars fill up fast, and a quick 15-minute chat can make all the difference for partnerships or deals.
Planning what to bring
Your trade show essentials should include:
Business cards
Comfortable shoes
A phone charger or power bank
A reusable water bottle
A notebook or digital notetaking app
You’ll also want space to stash brochures, freebies, and maybe a sample or two—so bring a roomy, comfortable bag.
